1. Cancellation or stop-work notice
A request to cancel, suspend or stop a project must be submitted in writing through the authorised project communication channel. The effective date is the date on which HiVibes Interio LLP receives the written request.
Verbal discussions, non-response, denial of site access or delayed payments do not automatically cancel the project and may be treated as a client-caused hold.
2. Cancellation before material ordering or factory work
If cancellation is accepted before project-specific materials are ordered and before factory/site work begins, any refund will be calculated after deducting services and commitments already incurred, including:
- Site visits, measurements and surveys
- 2D/3D design, technical drawings and revisions
- Design consultations and material-selection support
- Technical consultations for civil, electrical, plumbing, tiles, granite, false ceiling, UPVC or allied work
- Administrative, coordination and third-party booking charges
3. Cancellation after material ordering or factory/site work begins
Once project-specific material has been ordered, cut, processed, fabricated or moved into production, payments attributable to those items are non-refundable. This includes customised boards, laminates, acrylic, glass, profiles, hardware, stone, factory labour, installation preparation and committed vendor orders.
The client remains responsible for the value of completed work, work in progress, non-cancellable purchase commitments and services performed up to the effective cancellation date.
4. Charges that may be recovered
- Dismantling, removal, debris disposal and site-protection work already completed
- Pest-control or specialist services already delivered
- Design, consultation, supervision, administration and project-management work
- Custom material, manufacturing, labour and vendor cancellation costs
- Packaging, transportation, storage, repeat delivery and site remobilisation
- Applicable GST, bank or transaction charges and statutory deductions
A stage-wise reconciliation will be prepared using project records, approved scope and actual commitments.
5. Project hold and resumption
A client-requested hold may be accommodated for up to 30 days, subject to safe storage and vendor availability. After 30 days:
- Material, labour, transport and vendor pricing may be revised.
- The installation or production schedule may be reassigned and a new slot provided.
- Storage, protection, handling or remobilisation charges may apply.
- Warranty or handover periods will begin only as stated in the final project documents.
Delays caused by pending approvals, payments, site readiness or client-supplied items extend the project timeline.
6. Customised goods, returns and delivery damage
Custom-cut, customised, fabricated or installed goods cannot be returned or exchanged merely because the client changes preference after approval.
Goods once sold will not be taken back or exchanged unless visible damage or a qualifying defect is recorded at delivery or installation and accepted by HiVibes Interio LLP after inspection. Manufacturer warranty conditions apply to third-party products.
7. Refund assessment and payment
If a refundable balance remains after reconciliation, HiVibes Interio LLP will communicate the calculation and processing timeline in writing. Refunds will normally be made to the original payer or account, subject to verification and applicable deductions.
No refund is due where the value of services, completed work, material commitments, charges and statutory amounts equals or exceeds payments received.
8. Resolution, law and jurisdiction
The parties should first attempt to resolve concerns through written discussion and project reconciliation. This policy is governed by Indian law. Unresolved disputes will be subject to the exclusive jurisdiction of the courts at Hyderabad, Telangana, subject to applicable law.
